Your Old Signwriter Won't Release Your Artwork Files - What Now?

Can't get your artwork files back from a previous signwriter? The short answer: you're not stuck. We've been making signs for Adelaide businesses for over 30 years, and this problem lands on our desk more than you'd think. A facilities manager or business owner wants a new panel, a matching second sign, or a small update -- and the company that made the original won't hand over the print-ready files. It feels like being held to ransom over something you paid for. Everything we describe below is built and finished at our Kent Town facility, and re-creating "orphaned" artwork is genuinely part of our week.

Why do signwriters withhold artwork files?

Usually it comes down to lock-in. If you don't have the working files, you can't easily take your job to anyone else, so you stay a captive customer. There can be legitimate reasons too, and this is where it pays to be careful with the legal side. In Australia, who owns the copyright in a logo or artwork genuinely varies from job to job -- it depends on what your contract or quote actually said, and sometimes the designer retains rights unless they were signed over. So the honest position is this: check your paperwork first. The reasons a supplier gives usually fall into a few buckets:

• Commercial lock-in -- holding the files keeps you coming back to them for every future panel, repair or reprint.
• Genuine rights questions -- depending on your contract, the source artwork or a designer's original logo file may not automatically be yours to take elsewhere. Read what you signed.
• Nothing tidy to hand over -- some jobs were never saved as clean, layered files in the first place, so there's simply not much to release.

Whatever the reason, you rarely need to win that argument to move forward. In most cases we can rebuild what you need from scratch.

What can be re-created without the originals -- and what can't?

Most sign artwork can be rebuilt from good photos and accurate measurements. Logos, lettering, layouts and colours can all be re-drawn as fresh, print-ready vector files. Send us clear, straight-on photos of the existing sign, a note of the real-world dimensions, and any brand colour references you have, and we can re-create a working file that's yours to keep. Be straight with yourself about what's realistic, though:

• Rebuilds well -- logos, text, standard shapes, common brand colours, and overall layout. From good photos these come back cleanly.
• Rebuilds with care -- exact colour matching. Photos lie about colour, so we work from physical samples or a colour reference where we can, not a phone snap.
• The genuinely hard one -- a repeating decorative pattern that has to tile seamlessly across glass. That's where the missing original really bites.

We'd rather be honest than oversell it. A facilities manager once asked us to match a section of existing printed frost on their glazing -- a decorative swirl pattern already applied across the windows. Without the original artwork, there was no clean way to tile that swirl so a new panel lined up with the old, or to match the exact tone. As we told them at the time, there's no way to perfectly match up what was already there when the pattern is a continuous, custom repeat and the source file is gone. The same trick with your sign's electrics

Artwork isn't the only place this lock-in happens. We see the same behaviour with the electrics inside illuminated signs. Some companies deliberately bury the LED drivers or wire a sign so that only they can service it, treating your location as their intellectual property so you can't take the maintenance elsewhere. The result is the same as a withheld artwork file: you're tied to one supplier for every future repair.

It's just as fixable. A competent sign maker can trace the wiring, identify the components, and re-work the sign so it uses standard, replaceable parts that anyone can service. How to protect yourself next time

The best fix is to never end up here again, and it costs nothing but a conversation up front. Before you commission any signage, sort out the file question in writing at quote stage -- not after the job, when the leverage has shifted. A few simple asks cover most of it:

• Ask for the source files up front -- get it in the quote or contract that the print-ready artwork will be handed over to you on completion, or is available on request.
• Clarify who owns what -- confirm in writing whether the artwork and any logo files are yours to use with another supplier. Don't assume; have it stated.
• Insist on serviceable electrics -- for illuminated signs, ask that standard, off-the-shelf drivers and components are used so any electrician or sign shop can maintain it.
• Keep your own records -- hold onto proofs, colour references and dimensions. Even good photos of a finished sign make a future rebuild far easier.
